Membership Terms & Conditions

Denbighshire Leisure Ltd (DLL) reserves the right to periodically amend these terms and conditions. The terms and conditions below apply to customers with any category of DLL membership, including the Denbighshire Swim Scheme.

Memberships (General)

By law, you have the right to cancel an online purchase of your membership within 14 days, beginning from the day you take out this membership. If you choose to do this, DLL will retain your administration / joining fee (if applicable to your membership) and the pro-rata amount due for your usage of facilities up to the date of your cancellation.

Unless otherwise specified, for the purposes of DLL memberships, adults are classed as aged 16 years and older.

DLL accepts no responsibility for the loss or damage to any original documents submitted for use in the membership application process, unless a company employee is proven to have acted negligently.

All members will be issued with a digital membership card through the DLL app.

All members are required to provide a photograph for their membership record. This photograph will not appear on the card, but is required for identity purposes when using any centre.

Memberships are not transferable. Only the person to whom the membership is issued may use the facilities.

Members must check in on every visit, by showing their digital card at Guest Services or at the door access screen. Members may also be asked to show their digital card at any point during their visit.

It is the responsibility of members to provide DLL with documented changes to personal details/circumstances and/or medical/health conditions via the online portal.

Where the membership involves a junior, it is the parent/guardian’s responsibility to provide up-to-date medical information on their child. It is the parent/guardian’s responsibility to ensure a child is fit and well enough to participate in any DLL activities.

DLL reserves the right to amend or withdraw all or part of membership benefits offered at any time.

DLL reserves the right to refuse entry to any customer, and to terminate the membership with immediate effect, of any member found to be in breach of these terms and conditions.

Memberships (Fitness)

Adult memberships apply to customers aged 16 years and over. Junior memberships apply to customers aged 11-15 years.

Upon joining, members must complete a Health Commitment Statement before taking part in any activities.

Restrictions apply to the times at which junior members can use the facilities, and the locations and equipment they can use. Full details available at: https://denbighshireleisure.co.uk/juniorfitness/

Joint Fitness Memberships (2 people)

Joint memberships are only available to customers aged 16 and over. 

Memberships will require one member to act as the primary account holder, who will be responsible for payment of the monthly membership fee. 

Both members will hold a Premium membership agreement, and must comply with our Premium membership terms and conditions.

No concession or corporate discounts are available on joint memberships.

Cancellations

Cancellation at the request of both members will be subject to our standard cancellation terms & conditions.

Cancellation at the request of the primary member will cancel the joint membership.

Second members can request to be removed from the membership.  The primary member will then move to an individual membership of their choice.

Suspensions

If both members wish to suspend, the joint membership can be suspended as per our existing terms & conditions.

If ONE member wishes to suspend, this will invalidate the joint membership and our cancellation terms & conditions will apply.

Changes to Joint Membership

Changes to members on the account are not permitted.  If either member wishes to be replaced, a new membership will be required.

Joint memberships are available as Premium only. Changes to membership category eg to Core Gym are not permitted. 

Memberships (Concession & Corporate)

Proof of eligibility will be required and will need to be produced and recorded at the time of joining. You will need to upload proof of eligibility using the online portal within 14 days of joining. Failure to do so will result in your membership being converted to a standard rate from your next payment date.

DLL reserves the right to alter eligibility for Concession or Corporate Memberships. Proof of eligibility may be requested periodically to ensure continuing entitlement.

Memberships (Swimming Lessons)

DLL’s Swim Scheme is a continuous programme with a two week break at Christmas, plus any Bank Holidays.

All class levels are defined by Swim Wales criteria and assessed against such.

Waiting lists are maintained in date order and children moved into the Swim Scheme in the same way.

Once a child has been assessed as ready to move classes, every attempt will be made to find a space in the appropriate Wave. However, an immediate space cannot always be guaranteed. In these circumstances, children will be expected to remain in their current Wave until such time as a space becomes available. Children may also be offered a space at an alternative DLL swimming pool.

Fees/Charges

Joining fees and pro-rata payments will apply to all Fitness memberships and must be paid immediately upon joining. These fees are non-refundable unless otherwise stated.

Pro-rata payments will apply to all Swimming Lesson memberships and must be paid immediately upon joining. These fees are non-refundable unless otherwise stated.

Fees charged for Fitness memberships and Swimming Lessons include provision for closures and reduced programming over Christmas and scheduled Bank Holidays. No credit or refunds will be given.

Membership fees may be reviewed from time to time. Prior notice of any increases will be given to members via e-mail.

Individuals with outstanding debts with DLL must clear those debts before they can join or use any DLL facilities

Members joining through the National Exercise Referral Scheme are only eligible for the discounted rate whilst in continuous membership. Once a member has left the Scheme, they cannot re-join on the discounted rate.

Swimming lessons paid for in cash must be paid in full and in advance of the first lesson.

Swimming lessons paid for in cash must be topped up before the start of the final paid session. Failure to do so may result in place on the programme being lost.

Direct Debits

Any defaulted/cancelled Direct Debit payments must be paid before a member can resume using the facilities.

In the case of a missed payment, DLL will re-present and collect on the next available payment date – either 1st / 15th of the month.

DLL reserve the right to cancel the membership of any customer who fails on two or more direct debits.

Direct Debit Guarantee

This Guarantee is offered by all banks and building societies that accept instructions to pay Direct Debits. If there are any changes to the amount, date or frequency of your Direct Debit, Denbighshire Leisure Ltd will notify you 10 working days in advance of your account being debited or as otherwise agreed. If you request Denbighshire Leisure Ltd to collect a payment, confirmation of the amount and date will be given to you at the time of the request.

If an error is made in the payment of your Direct Debit by Denbighshire Leisure Ltd or your bank or building society, we will process a full refund of the amount paid from your bank or building society.

If you receive a refund you are not entitled to, you must pay it back when Denbighshire Leisure Ltd asks you to.

You can cancel a Direct Debit at any time by simply contacting your bank or building society. Written confirmation may be required. Please also notify Denbighshire Leisure Ltd.

**Please note only UK bank accounts are acceptable for Direct Debit.

Refunds

No refunds will be given for non-usage of centre facilities.

Where a child is no longer able to attend their designated swimming lesson day/time, every effort will be made to offer alternative lesson days and times. No refunds will be given if the alternative lesson days and times are declined.

If a swimming lesson is cancelled by the leisure centre, swimming lesson members will automatically receive a lesson credit.

Requests for eligible refunds should be made in writing (email/letter) to memberships@denbighshireleisure.co.uk

Discounts/Promotions

Leisure cards offer the user discounts on the standard prices within all DLL centres. The card must be produced to obtain the discount on every occasion, otherwise the full price must be paid.

Leisure cards cannot be used in conjunction with any other offers or discounts, unless otherwise stated

From time to time, DLL may run membership offers for which additional terms and conditions will be made available.

Suspensions and Cancellations

DLL require ten days’ notice to suspend or cancel a membership.

Memberships must be suspended or cancelled via the DLL online portal. https://denbighshireleisure.co.uk/manage-my-membership/

Memberships cannot be suspended or cancelled by telephone or in person at the leisure centre.

The minimum period that a Fitness membership can be suspended is one month. The maximum period that a Fitness membership can be suspended is three months. A suspension fee of £5 per month will apply, which will be deducted by monthly direct debit in the usual way for the period of the suspension.

The maximum period that a Swimming Lesson membership can be suspended is one month, for which a doctor’s note is required. A suspension fee of £5 will apply, which will be deducted by direct debit in the usual way.

The suspension period will take effect from the next available collection date. Payment will automatically restart once the suspension period is complete.

Once a monthly payment has been received, no full or part refunds will be offered, should a customer wish to cancel their membership. Membership cancellations received partway through a calendar month will become effective from the next payment due date.

It is the responsibility of the customer to cancel their direct debit payment.

Closures and Changes to Activities

DLL reserves the right to alter the time of or cancel a lesson, class or session for any reason. In these circumstances, DLL will use best endeavours to provide as much notice as possible.

To ensure continuity of the programme, DLL reserves the right to use relief teachers/instructors without prior notice.

In the event of any unforeseen closures at any centres, DLL will use best endeavours to contact all customers booked onto any activities.

If a missed session can be reasonably rescheduled, DLL will use best endeavours to inform customers of the alternative date/time.

Facilities and programmes vary from centre to centre and are all subject to availability.

Privacy

In order to ensure you receive the correct advice, our Guest Services team may occasionally need to ask questions of a personal nature.  All information received will be treated in the strictest confidence, and in line with our privacy policy.  If at any point in the conversation, you would prefer to speak to a member of our team in private, please let them know and this will be arranged.
