Membership Terms and Conditions

Denbighshire Leisure Ltd reserves the right to periodically amend these terms & conditions.

The terms & conditions below apply to customers with any category of Denbighshire Leisure membership, including the Denbighshire Swim Scheme.

Memberships (General)

By law, you have the right to cancel an online purchase of your membership within 14 days, beginning from the day you take out this membership. If you choose to do this, Denbighshire Leisure will retain your administration / joining fee (if applicable to your membership) and the pro-rata amount due for your usage of facilities up to the date of your cancellation

Unless otherwise specified, for the purposes of Denbighshire Leisure memberships, adults are classed as aged 16 years and older.

Denbighshire Leisure accepts no responsibility for the loss or damage to any original documents submitted for use in the membership application process, unless a company employee is proven to have acted negligently.

All members will be given a Leisure card, for which a photograph will be required. This photograph will not appear on the card, but is required for identity purposes when using any centre. 

Leisure cards remain the property of Denbighshire Leisure Ltd and must be returned if a membership is cancelled.

In the event of the card being lost / stolen, customers should notify their local centre immediately.  Damaged or defaced cards will need to be replaced, and a charge may be levied for this service.

Memberships and cards are not transferable.  Only the person to whom the membership is issued may use the facilities.

Members must record every visit, by showing their card at Reception or using a self-service checkout.  Members may also be asked to show their card at any point during their visit.

Members must comply with the rules appertaining to individual centres.

Leisure Centres are not responsible for the personal belongings of members or visitors.  Lockers are provided for public use and any valuables left unattended are left at the owner’s risk.

It is the responsibility of members to provide Denbighshire Leisure Ltd with documented changes to personal details/circumstances and/or medical/health conditions via the online portal.  

Where the membership involves a junior, it is the parent/guardian’s responsibility to provide up-to-date medical information on their child.

It is the parent/guardian’s responsibility to ensure a child is fit and well enough to participate in any Denbighshire Leisure activities.

The use of cameras, video photography or mobile devices for recording or taking still images within Denbighshire Leisure centres is strictly prohibited at all times.

Any incident or accident must be reported to Denbighshire Leisure staff as soon as possible after the event.

Members must indemnify the company for any damage, injury or loss caused by them, their guests or their dependants.

Denbighshire Leisure Ltd reserves the right to amend or withdraw all or part of membership benefits offered at any time.

Leisure Centre management reserve the right to refuse entry to any customer, and to terminate the membership with immediate effect, of any member found to be in breach of these terms and conditions.

Memberships (Fitness)

Adult memberships apply to customers aged 16 years and over. Junior memberships apply to customers aged 11-15 years.

Upon joining, members must complete a Health Commitment Statement before taking part in any activities.

Junior members can attend during the specified sessions for this type of membership.  In addition, some centres offer supervised sessions, but customers are responsible for checking programmes before attending.

Memberships (Swimming Lessons)

Denbighshire Leisure’s Swim Scheme is a continuous programme with a two week break at Christmas, plus any Bank Holidays.

All class levels are defined by Swim Wales criteria and assessed against such.

Waiting lists are maintained in date order and children moved into the Swim Scheme in the same way.

Once a child has been assessed as ready to move classes, every attempt will be made to find a space in the appropriate Wave.  However, an immediate space cannot be guaranteed.  In these circumstances, children will be expected to remain in their current Wave until such time as a space becomes available.

Memberships (Concession & Corporate)

Denbighshire Leisure Ltd reserves the right to alter eligibility for Concession or Corporate Memberships.  An up-to-date list of eligible criteria is available from any Leisure Centre.

Proof of eligibility will be required and will need to be produced and recorded at the time of joining. You will need to upload proof of eligibility using the online portal within 14 days of joining. Failure to do so will result in your membership being converted to a standard rate from your next payment date.

Proof of eligibility may be requested periodically to ensure continuing entitlement.

Club Cycle Denbigh Offer

Monthly payments collected during the period 1st October 2023 to the 31st December 2023 will be at the offer rate of £9.99.

From January 2024 onwards, all payments collected on the chosen Direct Debit date will be at the standard rate of £25 per month.

Offer applies to new members only.

Offer is exclusive to Club Denbigh only. Offer does not apply for members wishing to attend Club Cycle classes at any other DLL site.

Includes Club Cycle and Club Cycle Cross classes.

Guest Passes

Guest passes are available on request and have their own specific terms & conditions.

Members are responsible for the conduct of their guest during the visit.

A person accompanying a member as a guest will only be admitted once in that status.

Fees/Charges

Start up fees/pro rata payments will apply and must be paid immediately upon joining. These fees are non-refundable unless otherwise stated.

Membership fees and VAT thereon may be increased at our discretion. Fees are usually reviewed on an annual basis, but circumstances may dictate an earlier revision. Prior notice of any increases will be given to members via e-mail.

Any outstanding debt with Denbighshire Leisure must be cleared before rejoining.

Swimming lessons paid for in cash must be paid in full and in advance of the first lesson.

Swimming lessons paid for in cash must be topped up before the start of the final paid session.  Failure to do so may result in place on the programme being lost.

Members joining through the National Exercise Referral Scheme are only eligible for the discounted rate whilst in continuous membership.  Once a member has left the Scheme, they cannot rejoin on the discounted rate.

Direct Debits

Any defaulted/cancelled Direct Debit payments must be rectified before any further participation.

In the case of a missed payment, Denbighshire Ltd will re-present and collect on the next available payment date – either 1st / 15th of the month.

Denbighshire Leisure reserve the right to cancel the membership of any customer who fails on two or more direct debits.

Direct Debit Mandate Guarantee

This Guarantee is offered by all banks and building societies that accept instructions to pay Direct Debits.  If there are any changes to the amount, date or frequency of your Direct Debit, Denbighshire Leisure Ltd will notify you 10 working days in advance of your account being debited or as otherwise agreed.  If you request Denbighshire Leisure Ltd to collect a payment, confirmation of the amount and date will be given to you at the time of the request.

If an error is made in the payment of your Direct Debit by Denbighshire Leisure Ltd or your bank or building society, we will process a full refund of the amount paid from your bank or building society.

If you receive a refund you are not entitled to, you must pay it back when Denbighshire Leisure Ltd asks you to.

You can cancel a Direct Debit at any time by simply contacting your bank or building society.  Written confirmation may be required.  Please also notify Denbighshire Leisure.

**Please note only UK bank accounts are acceptable for Direct Debit.

Refunds

There will be no refunds for non-usage of centre facilities.

Direct debit payments for swimming lessons include provision for Christmas closure, scheduled Bank Holidays, therefore no further credit will be given.

Swimming lesson payments are non-refundable unless a doctor’s note is produced to cover the absence period.

If a parent/guardian has chosen the incorrect level of swimming lesson for their child and an alternative class is offered, but refused, no refund will be given.

If a swimming lesson is cancelled by the leisure centre, customers paying in cash will automatically receive a lesson credit.

Requests for refunds should be made in writing (email/letter) to the appropriate Commercial Manager.  (Details available from centres).

Discounts/Promotions

Leisure cards offer the user discounts on the standard prices within all Denbighshire Leisure centres.  The card must be produced to obtain the discount on every occasion, otherwise the full price must be paid.

Leisure cards cannot be used in conjunction with any other offers or discounts, unless otherwise stated

From time to time, Denbighshire Leisure may run membership offers for which additional terms and conditions will be made available.

Suspensions and Cancellations

There is a maximum suspension period of 3 months for Fitness Memberships

There is a maximum suspension period of 1 month for Swimming Lesson Memberships for medical reasons only, (proof must be provided).

The suspension period will take effect from the next available collection date.  Payment will automatically restart once the suspension period is complete.

Due to the dynamic nature of the Denbighshire Swim Scheme, a place on the programme cannot be guaranteed, following a period of suspension.  However, priority will be given in this situation.

Members wishing to cancel their membership must do so by contacting memberships@denbighshireleisure.co.uk  Cancellations are not accepted by telephone, via social media or in person at the leisure centre.

Denbighshire Leisure Ltd require ten days’ notice to cancel a membership.

Once a monthly payment has been received, no full or part refunds will be offered, should a customer wish to cancel their membership.  Membership cancellations received partway through a calendar month will become effective from the next payment due date.    

It is the responsibility of the customer to cancel their direct debit payment.

Closures and Changes to Activities

Centre management reserve the right to alter the time of or cancel of a lesson, class or session when deemed necessary.

Centre management reserves the right to use relief teachers/instructors without prior notice.

Centres may be closed on Bank Holiday weekends at Commercial Manager’s discretion and will operate a reduced programme over Christmas and New Year holidays.

In the event of any unforeseen closures, Denbighshire Leisure will make every effort to contact customers booked into an activity.

If a missed session can be reasonably rescheduled, centre management will inform customers of the alternative date/time.

Centres carrying out planned works will make every effort to give notice to customers.  However, centres shall be entitled to make necessary alterations and carry out repairs or maintenance without prior notice.

Facilities available vary from centre to centre and therefore all activities are subject to availability.

Booking (general)

Leisure card holders are entitled to book Leisure Centre facilities from seven days in advance. Non-Card holders may book from four days in advance.

All single bookings must be accompanied by full payment in advance.

Block bookings will be invoiced in advance on a monthly basis

If 24 hours or more notice is given of a cancellation, centre management will endeavour to provide an alternative date/time. (This notice period is 1 week for Block Bookings).

Booking (Group Exercise Classes)

This booking policy applies to both onsite, online and telephone bookings.

Members can book from 7 days in advance

Non Members can book from 4 days in advance

Customers must give at least 2 hours’ notice if they are unable to attend a class. Failure to do so may result in a non-member fee being charged.

Should a member not turn up for 3 classes, they will lose their priority booking privilege. Member will lose their priority booking privilege for 1 week from the day of the third missed class.

Only one booking can be made per person.

All class bookings are subject to availability. We cannot guarantee a place in a group exercise class.

Booking (Children’s Activities)

This booking policy applies to both onsite, online and telephone bookings.

Members and Non Members can book anytime from the date of the activities being advertised.

When booking this activity must be paid in full at time of booking and is non-refundable.

Liability

A member or visitor engaging in the centres activities or making use of its facilities are responsible for ensuring that he or she is properly equipped and that his or her state of health and physical condition are such as not to involve any risk to him or herself or any other person making use of the centre. It is hereby understood and agreed the centre accepts no responsibility for accident, injury, illness, loss or misadventure caused to or suffered by members or guests on the centre premises howsoever caused. Only to the extent caused by the wilful default or negligence of the centre, its servants or agents. Members are responsible for their own insurance in respect of injuries suffered, loss or damage to equipment.

Communication

Denbighshire Leisure Ltd is a socially responsible company and communicates with its customers on a paperless basis.
